Commercial Executive & Event Coordinator Job Specification
This role reports into the Worthing FC Commercial Director and the key responsibilities are to oversee all aspects of commercial sponsorship and event planning & management relating to the Worthing Football Club contract.
Key Accountabilities
- Helping to prepare the annual commercial budget and financial targets.
- Conducting customer service calls to partners & sponsors relating to enquiries and commercial agreements.
- Facilitating sponsorship opportunities to clients on the telephone and in face- to-face meetings.
- Assisting in creating a commercial opportunities brochure and keeping it updated on an ongoing basis.
- Production of event & sponsorship sales proposals which fit client requirements.
- Produce and publish marketing content for promotions on all social media channels, the club website and dedicated e-mailshots.
- Produce and send commercial agreements to new and existing partners.
- Updating all commercial agreements and sales on the club CRM system and on the clubs Google Drive.
- Liaising with the club’s signage production partners for all advertising boards.
- Facilitating the process for all artwork as and when required.
- Attend home matches with the Commercial Director to facilitate the match day hospitality experience for all partners & sponsors.
- Design and produce an itinerary of annual events.
- Understand the requirements for each event.
- Booking venues and scheduling dates, times and specific requirements.
- Maintaining a working relationship with vendors and venues.
- Research & planning of all aspects of events such as, venues, seating, dining, audio visual, photography, marketing, graphics and guest lists.
- Coordinating event specifics where necessary such as entertainment, music, performers, and guest speakers etc.
- Negotiating with vendors to get the most favourable terms, ensuring that you are staying under budget while planning event specifications.
- Keeping an eye on financial records to ensure that invoices are issued by the club and payments are collected in a timely manner.
- Managing and overseeing events on the day, including problem-solving, welcoming guests, directing event set-up, communicating with staff, and organising vendors, exhibitors and stakeholders.
- Communicating with the club’s comms team to create effective advertisements for each event, and when necessary crafting marketing materials and internet advertisements for individual events.
- Evaluate each event’s success and submit reports.
- Planning of multiple events at any one time.
- Building positive working relationships with key internal stakeholders such as the Owner, Chairman, Head of Finance, General Manager, Operations Manager and the Club Secretary.
Requirements, Skills and Qualifications
- Event planning experience.
- Budgeting and P&L experience.
- Sales facilitation experience.
- Well organised with excellent time management & multi-tasking skills.
- Ability to work to deadlines.
- Strong attention to detail.
- Team-oriented but have the ability to work as an individual.
- Excellent written and verbal communication.
- Strong client-facing skills.
- Experience of creating marketing campaigns.
- Good understanding of how to market and promote opportunities via social media channels.

Job Type: Full-time, permanent.
Salary: £18,000 – £22,000 per year
